Common Questions about Vacation Rental Homes

Stalcup Vacation Rentals manages privately-owned vacation rental cabins and homes throughout the Big Bear area.  We want our guests to have an exceptional vacation experience and enjoy our beautiful valley.  Please remember that you are a guest in a private home.  The city of Big Bear Lake has established occupancy and conduct restrictions to protect you, the rental owner, and the community.  Please contact us if you have any questions.



1. How do I book the cabin I like?
Our online booking system makes it easy to book any of our properties.  Start by selecting your dates to make sure the home is available, after that, it's an easy step-by-step process, just fill in the required fields and you are on your way to booking the property of your choice. If you prefer the special touch of personalized service or have any questions about our properties, give us a call and one of our booking specialists will be more than happy to assist you.

2. When is my balance due?

The full balance is due 30 days before arrival.  If you are booking more than 30 days in advance you can secure your booking with 50% down.

3. How do I get directions and keys to the cabin I rented?

Your reservation confirmation will include directions to our office. Once you check in we will provide you with keys and directions to your vacation rental.

4. What should I bring to my Big Bear vacation rental?

All of our properties feature fully equipped kitchens including pots, pans, cooking and dining utensils, and dishes for the number of guests the property accommodates.  If you are planning a special meal that requires specific cooking utensils, please bring them with you.  Dress warm during the Fall and Winter months and bring a light jacket for the cool Spring and Summer evenings.  Bring a few extra towels and rolls of toilet paper or you can supply yourself at any of our local supermarkets.  Big Bear has a K-Mart, CVS Pharmacy, and a Walgreens for any additional items you may need during your Big Bear stay.

5. Can I bring my pet to the cabin?

We do have pet friendly properties in our inventory but make sure your property accepts pets before you bring Fido or Fluffy. You can tell which cabins allow dogs by looking at their description or checking out our pet friendly section. If you are bringing a four-legged family member to one of our pet friendly homes, we will need you to complete and return a pet addendum and a nominal nightly fee and security deposit will be added for each pet in your party.  We're dog lovers too! - be sure to ask us for directions the best trails and pet friendly areas in Big Bear.

6. Do you have any specials for the cabins?

7. Do you provide linens for the cabins?

Linens and towels are provided for all of our properties.  We also provide the initial supply of paper towels and toilet paper.  Bring extra bath towels and paper goods if you have a large group or will be in Big Bear for an extended stay.

8. How does the security deposit work?

The security deposit is a fee collected to ensure the vacation rental is returned to the same conditions that it was when you arrived. This fee is 100% refundable providing there are no damages found to the house. After your departure, our staff does its best to return your deposit as soon as possible, though our contract says we have up to 21 days to do so.

9. How many people can sleep at the cabin I rented?

The maximum number of people that can sleep at each cabin is listed on the home details. Please make sure you choose a cabin that can accommodate enough people for your party.  Exceeding the occupancy  number is a violation of Big Bear Lake city ordinance 99-300 and will cause the forfeiture of your security deposit and result in an eviction from the property with no refund.  Please remember that you are renting someone's Big Bear vacation home in a private neighborhood and the locals will call us if they see or hear anything unpleasant or illegal.

10. When do I have to bring snow chains?

It is highly recommended that you carry snow chains in your vehicle during the winter months (November through April) if you are in the San Bernardino Mountains.  Conditions can quickly change and road restrictions that require chains can be placed at any given time. 11. Do the properties have air conditioning?

The temperature is always cooler at 6500 feet therefore the majority of our homes do not come equipped with air conditioning units.  Even during the warmest Summer months, Big Bear rarely gets over 75 degrees.  If having air conditioning is important to you and the rest of your party, contact one of our representatives for information on the cabins that have this feature.

12. What is your cancellation policy?

All reservations become non-cancelable / non-refundable within 30 days of your arrival.  If you have placed a temporary hold for a home or you haven't given any form of payment towards a reservation, you may cancel without a cancellation fee. If a payment has been received and within 30 days of your arrival there is no cancellation policy for your reservation. We strongly advise purchasing travel insurance to protect you from any unseen events that might cause you to cancel.  Contact our representatives if you have an emergency that forces you to miss your trip.

13. How much do your cabins cost?

We have a wide variety of homes on our inventory with prices to match any budget.  We collect the local transient occupancy tax (8%) and Resort Association fee (2.5%) on top of our regular room rates for every reservation.  Some of our properties have a nominal booking fee ranging from $25.00 to $50.00.  All of our properties have a mandatory cleaning fee ranging from $75.00 to $250.00, depending on the size of the property.  Refundable security deposits range from $300.00 to $1,000.00.

14. How far in advance do I have to book my cabin?

We don't have a restriction on how far in advance you need to book up to 365 days. Depending on whether the cabin is clean and ready to go, you might even book within the same day of your arrival. Keep in mind that if you want to make sure you can book the cabin you like, we recommend you do it as soon as possible so that nobody else takes it before you. Also keep in mind that once we have confirmed the reservation, it would take us about 1-2 hours to perform a check-in.

15. Can I physically see the cabin I want before I book it?

We can provide you with directions to the cabin so you can see the outside for yourself.  All of our cabins are professionally cleaned after every tenant's departure and we like to keep them rent-ready for the next tenant; therefore we don't do walk-ins on the inside of the homes.

16. How do I check-in to my cabin?

We ask our tenants to check-in to our office before going to the cabin.  Our office is conveniently located in the village behind the Copper Q at 645 1/2 Pineknot Ave. We would love to meet all of our tenants personally, but in order to make the check-in a smoother process, we only require the person on the contract to come to our office.  Please have the credit used to pay for the reservation and your driver's license ready.  We will then provide you with the key and all additional information you might need for the home.  After that you are on your way to a memorable vacation!

17. Do you do a walk-through of the rental with us at check-in?

We conduct inspections prior to your arrival and after your departure. If you find any damages upon your arrival, if something is not working correctly, or you need any assistance during your stay, please call our office immediately.  If you wait until check-out to report a problem we will be unable to correct the situation.  We cannot refund monies for problems we are not given the opportunity to resolve.  If something's not right we want to know about it.

We realize accidents happen from time to time. We will leave you a form where you can write any minor breakage that took place during your stay.  We would appreciate learning about any damage or breakage from you directly, not our housekeepers.  Communication is the key!

18. Who is responsible for clearing the snow?

We make sure that when you arrive there are parking spaces off the street (number depending of individual property) and a walk way to the door. Once you arrive you are responsible to keep the snow cleared.  If you prefer we can remove the snow for a fee.

19. How do I check-out of my cabin?

Take a look at our checklist.
Please make sure you wash all dirty dishes. If the home is equipped with a dishwasher make sure you at least start the washing cycle.
Take all trash to the disposal site. Directions are provided in the house guide at the cabin.
Leave all used beds unmade.
Gather used towels together.
Turn thermostat down to 55 degrees Fahrenheit.
Make sure all doors and windows are closed and locked.
Check the house for forgotten personal items. The most common places where people forget items are drawers, closets, electronics plugged to outlets (such as chargers, personal videogames etc)
Turn off all lights.
Provide us with any suggestions to make your next stay even better.
Return key to our office in the village.
A copy of this checklist will be provided in the house guide when you arrive to the home.

20. Can I request an early check-in or a late check-out?

We are always trying to accommodate our tenants and will be more than happy to change your check-in/check-out times whenever it's possible.  Some properties charge a minimal fee for late check-outs.  Due to the high volume of reservations during the winter holidays, there are no early check-ins or late check-outs.

21. How can I get information on the activities I can do while am in Big Bear?

22. What if I have an emergency while am at the cabin?

For all major emergencies dial 911. For all other issues you may call our office every day from 9:00am to 6:00pm or call our after hours answering service. We will make every effort to remedy all issues in our control. 

23. Do you offer a catering service?

Yes. Our sister company, The Copper Q, can arrange catering or a private chef at you vacation property. Please contact us for details.

24. Do you provide firewood for the cabin?

We can deliver firewood to the cabin prior to your arrival so that it is ready for your use when you get there. Make sure you mention this at the time of booking and we will let you know the current firewood rates. You can also order wood once you are in Big Bear. Just give us a call and we'll have it delivered to you.
